Prairie Band Casino & Resort is a Native American casino in Kansas owned by the Prairie Band of Potawatomi Nation. The tribe officially took over operations in 2007 and now has over 1,000 slot machines, more than 30 table games, and a bingo hall. Prairie Band Casino is open 24 hours a day and offers food and drinks at each of its three restaurants. In addition to their 35,000-square-foot casino, Prairie Band owns and operates an adjacent resort with nearly 300 guestrooms, several meeting rooms, and a gift shop. Some of the challenges that faced the FP&A managers were all related to a very tedious, complex budgeting process. Every year, the FP&A team would meet with each department to review trends, expected revenue, and total costs. While that’s a normal finance activity, it was made more challenging because of Prairie Band Casino’s limited technology. Management wanted daily operating reports, so FP&A teams had to take each department’s monthly total budget and break it down by day, incorporating patterns and seasonality. Only then could finance and leadership work together to establish a realistic future budget. Not only did this process amount to a lot of meetings, but it also produced numerous versions of the budget. Trying to figure out which file was the source of truth was like finding a needle in a haystack. So, most of the time, FP&A managers ended up creating a new one, cobbling all the pieces together. And when any top-down adjustments needed to be made, this entire process had to be repeated. By the time the final budget was presented to the Board and Tribal Council, it was time to layer in additional actuals to get a picture of rolling trends. In all, budgeting took at least four to six months, taking valuable time away from both the finance team and operating leadership.
