This Privacy Policy explains how TribalHub LLC ("TribalHub," "we," "us," or "our"), collects, uses, discloses, and protects information from individuals ("Users" or "you") who engage with our services, including events, membership portals, training, consulting, marketing, webinars, meetings or any other interaction or service we may provide.
Introduction
TribalHub LLC and its subsidiaries and affiliates (“TribalHub”) form the largest nationwide network of technology minded leaders from Native American and Alaska Native communities representing Tribal Government, Tribal Healthcare, Gaming/Hospitality and a variety of diverse tribal owned and operated enterprises (“tribes”). TribalHub connects tribes to one another and tribes to suppliers and solutions, while providing TribalHub Members with access to a variety of industry information. We are a membership organization, an event management organization, an education and consulting organization, and an information sharing platform. By joining as a TribalHub Member, or by registering and participating in any of our events or services, you are giving permission for TribalHub to both share your information and send you information relevant to the industry. To those joining or participating from a tribe or tribal enterprise/corporation, the personal information we share within our directory/portal is limited to your name, title and organization. To our vendor partners, we believe you aim to serve, support and connect with the tribal community and therefore we may collect and share information such as your name, company, and additional contact information including email, phone and mailing address.
TribalHub respects your privacy and is committed to protecting your personal data. This privacy policy will inform you as to how we look after your personal data when you visit our website (regardless of where you visit it from), handle your personal data in connection with any of our events, membership, services or our websites (TribalHub.com and our subsidiaries), and tell you about your privacy rights.
This privacy policy aims to give you information on how TribalHub collects and processes your personal data when you engage with us through multiple channels including use of our website(s), event, webinar or TribalHub Member registration, subscribe to our communications, sign-up for or request information about our products or services, or take part in an event or webinar. It is important that you read this privacy policy together with any other privacy notice we may provide on specific occasions when we are collecting or processing personal data about you so that you are fully aware of how and why we are using your data. This privacy notice supplements the other notices and is not intended to override them.
1. Who This Policy Applies To
This policy applies to all forms of engagement with TribalHub, including but not limited to:
- Event Attendees: Individuals registering for or attending our Onsite Events (conferences, trade shows, meetings, summits) OR Virtual Events (webinars, podcasts, group meetings, online events).
- Members: Individuals or entities (TribalHub Members AND Associate Members) who pay for Annual Membership and access to the online portal and resources.
- Vendors/Exhibitors/Sponsors: Companies and their representatives who attend our events, purchase event space or sponsor any of our events or purchase advertising or any of our vendor services.
- Clients: Entities receiving Consulting or Training or or any of our other Services.
- Online/Website/Portal Users: Anyone accessing our websites, community forum, virtual platforms, or online member portal.
2. Information We Collect
We collect Personal Information (PI) when you voluntarily provide it to us and automatically as you interact with our services.

TribalHub may also use third-party cookies – i.e. cookies from websites / web servers other than the Website, owned by third parties. These third parties will either act as independent data controllers from TribalHub regarding their own cookies (using the data they collect for their own purposes and under terms defined by them) or as data processors for TribalHub (processing personal data on TribalHub’s behalf). We use your Personal Information based on the service you are engaging in:

A. Core Business Sharing
- Event Sponsors and Exhibitors:: We share Contact Data and Professional Data of event attendees with our event sponsors and exhibitors. You will be given a clear opportunity to opt-out of this sharing during the event registration process.

- Payment Processors ([e.g., Stripe, Bill.com, Quickbooks]).
- Event Management Platforms ([e.g., Cvent, Alliance, eShow, vFairs]).
- Email Marketing Platforms ([e.g., Microsoft Dynamics, Click Dimensions, YAMM, Address Verification/Cleansing]).
- Virtual Event/Webinar/Podcast Platforms ([e.g., Teams, vFairs, Zoom, Google Meet, PodBean]).
- Surveys and Information Gathering (Jotform, Google Forms, Survey Monkey)
- Membership Educational Platforms (Cloverleaf, Skillsoft, Percipia)
- Consulting Clients: When providing consulting/training, data may be shared with our trusted sub-contractors, subject to confidentiality agreements.
- Connections: Connecting you with other tribes, TribalHub Members or solution providers when you use the member information portal.
B. Legal and Corporate Sharing
- Legal Compliance: We may disclose PI when required by law, such as to comply with a subpoena or similar legal process, or when we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others.
- Business Transfers: In the event TribalHub is involved in a merger, acquisition, or sale of assets, your PI may be transferred to the acquiring entity.
5. Tribal Data Sovereignty Acknowledgment
TribalHub is committed to respecting the principles of Tribal Data Sovereignty. We understand that information concerning Tribal governments, Tribal enterprises, or Tribal members may be considered sensitive and subject to Tribal laws, policies, and customs.
- Consulting/Training Data: Data, reports, or findings generated during consulting or training services provided to a Tribal entity are the sole property of that Tribal entity. TribalHub will handle this data in accordance with the specific contractual agreements (e.g., Data Use Agreements or Non-Disclosure Agreements) established with the Tribe, which typically supersede this general policy.
- Data Minimization: We strive to collect only the minimum PI necessary to deliver our contracted services to Tribal entities.
6. Data Security And Retention
A. Security Measures
We implement a variety of technical and organizational security measures to help us protect your PI from unauthorized access, disclosure, alteration, or destruction. These measures include Access Control and Identity Management on sensitive databases, required Multi-Factor Authentication (MFA) for team members, employment confidentiality agreements with team members and attention to cybersecurity practices.
B. Data Retention
We retain your PI only for as long as necessary to fulfill the purposes for which it was collected, including for the purposes of satisfying any legal, accounting, or reporting requirements.
- Membership Data: Retained for the duration of active membership plus a period after cancellation deemed necessary and to facilitate easy re-enrollment.
- Transaction Data: Retained for as long as necessary to comply with financial and tax laws.
- Marketing Contact Data: Retained during your known tenure with a relevant industry organization or until you withdraw consent (unsubscribe).
7. Your Privacy Rights and Choices
Depending on your location and engagement with TribalHub, you may have the following rights:
A. Access, Correction, and Deletion
You have the right to request access to the PI we hold about you, request corrections to inaccurate information, and request the deletion of your PI, subject to certain legal limitations (e.g., legal or tax retention requirements).
B. Opting Out of Sharing
You have the right to opt out of the sharing of your PI with third-party Sponsors and Exhibitors. You can exercise this right:
- At Registration: By checking the designated opt-out box on the event registration form.
- Post-Registration: By emailing us at contactus@tribalhub.com with the subject line "OPT-OUT OF VENDOR SHARING."
C. Marketing and Communications
You can opt out of receiving promotional emails from TribalHub by clicking the "Unsubscribe" link located at the bottom of every marketing email. If for any reason the link is missing or not working within a marketing email, you can opt out of future emails by emailing us at contactus@tribalhub.com with the subject line "Unsubscribe." Please note that service-related communications (e.g., membership renewal notices, security updates) are mandatory and cannot be unsubscribed from.
D. Exercising Your Rights
